Dear Current and Future Camp Billings Family Members,
My name is Catherine Harding, and I’m the Registrar for Camp Billings. I’m the human on the other side of online registration, and I can be reached at [email protected]. If your child has aged out of being a camper (they are 16 or currently in 10th grade), we encourage them to apply to our Counselor in Training Program.
We use CampBrain for our online registration system. Beginning at 8:00am on Monday December 2nd, registration will open for all families interested in registering campers for Summer 2025. CampBrain will walk you through the required forms to register your camper(s) for Summer 2025. At the conclusion of the process you will receive an automatic confirmation email acknowledging your submission and providing future information and instructions, and the reminder to check the attached invoice for your required payments. The emails will come from Camp Billings Registrar ([email protected]). In the past, some families have reported that emails are filtered to junk/spam. Please make “[email protected]” an approved contact in your email and/or check your spam folder.
What can I do to prepare for registration ahead of December 2nd?
Please access CampBrain to create or update your account and household information. We suggest doing so as soon as possible to confirm that all personal information and contact information is correct for both camper and caregiver to ensure the registration process runs smoothly. This means updating your email and home address to make sure we are on the same page! Please pay special attention to your camper’s birth date and gender to make sure our numbers are correct for making cabin placements.
When do you expect registration to fill up, and how can I ensure my camper secures a spot?
Many families choose to sign up the moment registration opens. Of course, this will ensure you have a spot for summer 2025, and you can start planning your summer schedule! With the high influx of website traffic, there can be delays. If you experience any issues or if you have questions as you register, don’t panic! There will be plenty of spots, and I will be on standby, ready to help. Just send me an email!
In terms of typical patterns of how the sessions fill, Session 3 usually fills up within the month of December, whereas Session 2 will most likely fill up by the end of January. These sessions fill up quickly because they are the most accessible for campers’ school break schedules. Session 1 usually has a few extra spots by June, as many schools in New England are still in session close to or during the opening of the season.
Once a session has reached capacity, you will be unable to register for it. Instead, you will see that you can add your camper to the waitlist. In that case, I will be in contact with further instructions and suggestions.
I will send out more information about registration in November once the board has finalized all information and processes for Summer 2025.
What will happen after I register?
Please review the confirmation email, which will include your invoice showing which session(s) your camper(s) are enrolled in and the total cost of tuition for your household. If the information on the invoice is incorrect, please contact me to correct it!
During the registration process, you will have a choice to make payments via a physical check that you will mail to my home address or to make an online credit card or e-check payment for the deposit. In order to hold your spot(s) for the summer, we must receive your deposit payment within two weeks of your confirmation. Please note that online credit card payments will have a 3% convenience processing fee added to the payment amount.
After registering, you will receive any communication from me or the directors (directors@campbillings) ahead of your chosen session. I will send out updates, packing lists, and logistical information about drop off and pick up.

Payments and Refund Policy
Deposit. There is a $500 non-refundable deposit per camper/per session. We have three methods for paying the deposit: online with a credit card or with an e-check at the time of registration or mailing a physical check to the Registrar to be received within 2 weeks of confirmation. Returned checks are charged a $25 fee.
Grace Period. All families are given a two-week grace period after receiving confirmation of their registration. If you notify our Registrar within two weeks of your confirmed registration that you need to cancel your registration(s), you will receive a full refund of the deposit(s). Cancellations made after the conclusion of the two-week grace period forfeit the entire deposit (this includes dropping from two sessions to one OR switching a session, for example).
Full Tuition. Full tuition is due by April 30, 2025. Campers who register after April 30 are expected to pay for the full tuition within 2 weeks of registration either online or a mailed physical check.
It may be necessary for a parent to cancel a camper’s registration after full tuition has been paid. If cancellation is due to a serious illness or injury that prevents participation in camp activities, Camp Billings will refund the paid tuition minus the deposit, provided that a doctor’s note certifying the illness or injury is submitted in writing. Any cancellations for other reasons are not subject to refunds.
Waitlists. Once we reach capacity for a session, we will start a waitlist. To sign up for the waitlist, fill in an application online. There is no deposit required to be placed on the waitlist.
2025 COVID Plans
Camp Billings’ COVID Policy is driven by the US CDC’s recommendations and guidelines. As of December 1st, 2022, Camp Billings is not requiring COVID-19 vaccination in order to attend Camp Billings. Additionally, Camp Billings is not planning to require a COVID-19 test prior to or upon arrival at Camp. Should any changes to the CDC Guidelines directly impact the COVID Policy, Camp Billings will communicate the updated rules to all enrolled families.
CAMPERS WITH SPECIFIC NEEDS
Camp Billings and its staff are neither trained nor equipped to support children with extensive physical, emotional, or educational needs. In order to provide the best possible experience for your child and for all the other members of our camp family, we require that all special considerations be brought to the attention of, and discussed with, our Camp Directors prior to a child registering for a camp session.

Session 1 is when we celebrate the 4th of July with a ton of Red, White, and Blue! We have an all-camp Color Wars, a cookout, and epic fireworks at night. Many of the Lake’s residents love to come over on their canoes and watch the show from their boats! Do you love dancing, singing, or lip-sync competitions? Session 1 hosts Battle of the Bands, where cabins compete with musical performances!
Session 2 is when we do the Glee, Billings Idol, The Voice, or Billings Got Talent competition. Costumes and eccentric clothes are always appreciated. And we have International Night! Plan to dress up in your best outfit for this feast.
Session 3 is when we put on the Musical! What will it be this summer?!
Session 4 is when we have Country Fair. You will want to bring a t-shirt of every color, good sneakers, multiple athletic shorts, and socks, and be prepared to play in the rain (as long as there is no thunder and lightning.) Session 4 also hosts Halloween and our Final Campfire, where campers can perform skits and songs on the last evening of the summer.
